AIA Code of Ethics

Members of The American Institute of Architects are dedicated to the highest standards of professionalism, integrity, and competence. This Code of Ethics and Professional Conduct states guidelines for the conduct of Members in fulfilling those obligations. The Code is arranged in three tiers of statements: Canons, Ethical Standards, and Rules of Conduct:

  • Canons are broad principles of conduct.

  • Ethical Standards (E.S.) are more specific goals toward which Members should aspire in professional performance and behavior.

  • Rules of Conduct (Rule) are mandatory; violation of a Rule is grounds for disciplinary action by the Institute.

  • Rules of Conduct, in some instances, implement more than one Canon or Ethical Standard.

The Code applies to the professional activities of all classes of Members, wherever they occur. It addresses responsibilities to the public, which the profession serves and enriches; to the clients and users of architecture and in the building industries, who help to shape the built environment; and to the art and science of architecture, that continuum of knowledge and creation which is the heritage and legacy of the profession.

  • Antitrust Compliance Guidleines 2022

The American Institute of Architects (AIA) is committed to ethical integrity and full compliance with federal and state antitrust laws. Members are responsible for ensuring their actions align with these regulations, as violations can result in severe penalties. To maintain compliance, members should seek legal guidance on sensitive topics such as pricing, market allocation, and business agreements, follow structured meeting protocols, and avoid discussions or records that could imply anticompetitive behavior. AIA upholds these standards to protect the profession’s reputation and ensure fair competition within the industry.

  • Diversity and Inclusion Statement 2022

The American Institute of Architects (AIA) is committed to fostering a culture of equity, diversity, and inclusion within the profession to build a better future for all. By removing barriers and expanding opportunities, AIA strives to create a more inclusive industry that reflects the diverse communities it serves. This commitment extends to racial, ethnic, and gender equity, empowering women in leadership, supporting higher education, and cultivating the next generation of architects through initiatives like the K-12 Pathway. Through action-driven programs, mentorship, and leadership development, AIA is working to make lasting, meaningful change in the profession and beyond.

  • Financial Management Policy 2022

The AIA El Paso Chapter's Financial Management Policy ensures accountability and transparency by providing accurate financial data for internal and external use. It establishes clear responsibilities, assigns authority for financial decisions, and safeguards against conflicts of interest. The Board of Directors oversees financial management, while the Treasurer handles day-to-day operations, including managing expenses, payments, and bank accounts. These policies help the chapter operate efficiently while upholding its mission.

  • Financial Reserves Policy 2022

The AIA El Paso Chapter’s Financial Reserves Policy ensures financial stability by maintaining reserves between 50% and 75% of annual operating expenditures, with a minimum of 45% and a maximum of 100%. The Operating Reserve Fund must be held in cash or cash equivalents. The Finance Committee aims to create budgets that uphold this policy and informs the Board if reserves fall outside the target range. The President and Treasurer assess the need for reserve fund use, ensuring alignment with organizational goals. If reserves exceed 70%, the Board may allocate a portion toward strategic initiatives.

  • Group Viewing Process and Policies

AIA Components and CES Providers may request approval for group viewing of AIAU courses, allowing attendees to earn Learning Units. An AIA CES Education Provider must host the event and ensure compliance with AIA CE policies, including submitting attendance records. Currently, group viewing is only available to approved AIA CES Providers and is granted on a case-by-case basis.

  • Model Harassment Policy - Talking Points

The AIA Components Model Harassment Policy addresses all forms of discrimination and harassment, including but not limited to sexual harassment, across AIA-related activities such as events, education programs, and conventions. It does not apply to non-AIA activities or firm-specific incidents unless connected to AIA. Harassment is defined as unwelcome conduct based on protected statuses like sex, race, age, disability, and more, with legal interpretations varying by state. The Board of Directors holds responsibility for investigations, which must be fact-based, confidential, and fair. Legal consultation is advised to ensure compliance with state and federal laws.

  • Record Retention and Destruction Policy 2018

The AIA El Paso Document Retention and Destruction Policy outlines procedures for maintaining and disposing of records in accordance with a set retention schedule. Documents not specifically listed but similar in nature will be retained for an appropriate duration. This policy ensures proper management, compliance, and accountability in handling organizational records.

  • Reimbursement Guidelines 2019

The AIA El Paso Out-of-Pocket Travel and Business Expenses Guidelines outline the reimbursement policies for conference and event participation, travel, lodging, meals, and other business-related expenses. Reimbursements are contingent on budget approval, reasonable expenditures, and proper documentation, including itemized receipts. Personal expenses, non-business-related costs, and amounts exceeding the budget without board approval will not be reimbursed. The Treasurer reviews and issues reimbursements within 10 business days, and no advancements are provided. All reimbursement requests must be submitted within 30 days of the expense or by year-end for December expenses.

  • Sexual Harassment Policy 2022

The AIA stands united in rejecting sexual harassment within the architectural profession. Together, we strive to create a more inclusive environment by addressing harassment, amplifying marginalized voices, and breaking down cultural, ethnic, racial, and gender barriers. While acknowledging that progress has been made, the AIA is committed to continuing its efforts toward a workplace culture free of harassment. As the voice of the profession, the AIA will dedicate resources to the elimination of sexual harassment and assault and work toward fostering a more inclusive and equitable architectural community.

  • Whistleblower Policy 2018

The American Institute of Architects (AIA), El Paso Chapter, is committed to transparency and accountability, expecting all volunteers and employees to act ethically and comply with the law. The Whistleblower Policy encourages reporting serious concerns, including unlawful activities (fraud, theft, embezzlement), violations of policies, misconduct, employee health risks, destruction of documents, or misuse of AIA property. Employees and volunteers are urged to report such concerns to senior management, legal counsel, or AIA officers, ensuring that issues are addressed internally before seeking external action, promoting a culture of integrity and ethical conduct.
